Privacy policy
Last updated April 2026. This policy supplements your client agreement where applicable.
Who we are
Optic Web Design (“we”, “us”) provides web design, development, and related services. This policy describes how we handle personal data in connection with our marketing website and client engagements.
Contact: hello@opticwebdesigns.com · United Kingdom.
How we use data
To respond to enquiries, deliver services, invoice and collect payment, and meet legal obligations.
To operate, secure, and improve our website and client deliverables.
We do not sell your personal data.
AI and client sites
Where we provide AI-assisted features (for example Optic Copilot on your site), we process inputs and related content to fulfill your requests. Details are in our AI transparency page.
We configure providers so client data is not used to train public models. Subprocessors and retention periods are listed in your agreement and updated when vendors change.
Subprocessors & transfers
We use trusted providers for hosting, email, analytics, and AI where applicable. [placeholder: list subprocessors — e.g. hosting, Plunk, AI provider, analytics — and link to vendor privacy pages.]
If data is transferred outside the UK/EEA, we rely on appropriate safeguards (such as Standard Contractual Clauses) where required.
Retention
We keep data only as long as needed for the purposes above, including legal, accounting, and dispute resolution. Request logs for support may be retained for a limited period; exact windows are stated in your client agreement or maintenance addendum.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or restrict processing of your personal data, and to object to certain processing. Contact us at the email above to exercise these rights.
Changes
We may update this policy from time to time. The “Last updated” date at the top will change when we do; for material changes affecting clients we will provide notice as required by law or contract.
For how we use AI on client sites, see AI transparency.
